2. Personal data we process:
Of course, we cannot carry out our activities without having some information about you. The initial data is collected through your requests for offers, sent to us by the Bulgarian and international partners of your business contact details, as well as from the international documents of your business details. We also collect information collected through the use of our services, such as participation in our events, as well as information from third parties.


Aris Cargo Ltd. also works in the provision of international and local transport and logistics services, as well as additional services related to the optimization of international economic relations, establishing high standards in our activities. When your company is not a customer or a potential customer, or you as an individual are neither a customer nor a potential customer, we collect selected data:


through an inquiry form on our site, the inquiries you do not send by email, telephone, fax, or in a business meeting.


These are the minimum required or legally established data that we collect:

  • As part of the company team that is a customer or potential customer of Aris Cargo Ltd. – identification data necessary to perform the services we offer, such as two names, email, phone, address, place of work, and position;
  • As a manager of a company that authorizes Aris Cargo OOD or our counterparty for customs brokerage or does not authorize with other rights – information in accordance with the power of attorney, namely: three names of the manager or the authorized person, social security number, identity card, address, signature and handwriting three names written;
  • As an employee of Aris Cargo OOD – information in accordance with the Labor Code for the needs of forming labor relations: three names, social security number, identity card, address, education, and qualification;
  • As a sub-supplier/contractor of Aris Cargo OOD – information in accordance with the Law on Contracts and Obligations: three names, social security number, identity card, and address;
  • As an employee of a sub-supplier/contractor of Aris Cargo OOD – information related to the performance of assigned tasks: two names, phone number;
  • When you apply for a job in the organization – the minimum information to determine your competencies: three names, e-mail, telephone, competencies that you define as relevant to the position;
  • When you decide to participate in our contests – the information you use to register or enter;
  • If you are a participant in our event for accounting reporting needs – the information you do not provide form the primary expense and reporting documents.

In addition to information you do not provide directly, we receive information about you from other people, including:
Other users of the service provided by Aris Cargo Ltd. can provide information about you, in all of the above, and when you first contact us, we will let you know where you got this information from.

Accounting activity – processing of primary accounting documents

6. Term of storage of the processed information

We retain your information for as long as is necessary for our legitimate interests or as determined by the country’s legislation. In practice, we delete or anonymize your information after the expiration of the legally established terms, but we may continue to store it for the next 5 years without indexing it and provide it to third parties in the following cases:
we need to retain data to comply with applicable law (eg some “traffic data” is retained for one year to comply with statutory data retention obligations);
we need to retain data to demonstrate that we comply with applicable law (e.g. documents kept for five years regarding consents to our Terms, Privacy Policy and other similar consents);
there is an outstanding matter, claim or dispute requiring us to retain the relevant information until it is resolved;
the information must be kept for our legitimate business interests, such as preventing fraud and enhancing the safety and security of users.
Please note that although our systems are designed to perform data deletion processes as outlined above, we cannot promise that all data will be deleted within a certain period due to technical limitations.
In the event of a legal dispute or proceeding requiring the retention of data and/or a request from a competent state authority, it is possible to retain data for longer than the specified terms until the final conclusion of the dispute or proceeding before all instances. The stated terms may be changed in the event that a different requirement to retain the information is established under current legislation.
Backup. In order to ensure the reliability of the Services and to prevent data loss for technical reasons, the Site applies a data redundancy policy. The maximum update period (including data deletion) of all backups is 90 days. We store all accounting documents or those for employment legal relations as required by law.

7. Collection and Withdrawal of Consent

In certain cases, we will use your information (outside the legally established cases) by sharing it with members of the holding or our partners: names, phone or e-mail, and your consent will be objectified with a declaration of consent.
At any time, you can withdraw the given consent by means of a declaration of withdrawal of consent.

We provide your data to third parties (in the sense of the Regulation called “recipients” by virtue of the statutory acts.

You share information with other Aris Cargo OOD employees when you have given your consent. You can withdraw your consent to share your data with other employees of Aris Cargo OOD using the described procedure and submitting the necessary declaration. Please be careful with your information and make sure that the content you share is appropriate for publication, as neither you nor we can control what others do with your information after you share it.

With our service providers and partners
We use third parties to help us operate and improve our services. These third parties help us with various tasks, including hosting and data maintenance, analytics, customer care, marketing, advertising, payment processing and security operations. When sharing information, we strive to comply with legal requirements or limit ourselves to non-personal information (two or three names)
We follow a strict vetting process before engaging with a service provider or working with any partner. All our service providers and partners must accept strict confidentiality obligations.

For corporate transactions
We may transfer your information if we are part of a merger, sale, acquisition, divestiture, restructuring, reorganization, dissolution, bankruptcy or other change of ownership or control, of which you will be promptly notified.
We may use and share information that is non-personal (meaning that it does not by itself identify who you are, namely: device information, general demographic data, general behavioral data), as well as cached personal information, machine-readable form, in any of the above circumstances. Aris Cargo Ltd. does not transfer data outside the European Union.

10. Machine processing of personal data

Aris Cargo Ltd. does not perform machine processing of your personal data leading to profiling or machine-made decisions.

11. Rights of data subjects

You, as the subject of personal data processing, have the right to exercise the following rights.
Before you have this opportunity, we need to identify you, and we will carry out your identification on site at our office.
The period specified in the Regulation for responding to your request is up to 1 (one) month, which we will comply with, following the procedures adopted by us.

 

You can submit your request in paper form – from our office, and we will notify you in the manner indicated by you of the outcome of each of your GDPR requests.

List of your rights:

The right at any time to withdraw your consent to the processing of your personal data in accordance with the requirements of the Regulation;
Right to rectification of personal data – if you believe that there is an error in the personal data collected about you, you may request its correction. You will need to provide us with information that you believe is correct.
Right of access to your personal data – you have the right to receive confirmation as to whether we are processing your personal data and, if so, to access it. Along with the data, we will give you access to the mandatory information described in Art. 15, item 1 of the Regulation.
Right to delete your personal data – you can request to be forgotten, and we will assess whether the requirements of Art. 17 of the Regulation.
Right to restriction of processing – means marking stored personal data in order to restrict their processing in the future. If you want us to keep your personal data without processing it, you can make a request under this point.
Right to data portability – you can request that the personal data we collect about you be transmitted in a structured, widely used and machine-readable form. We are currently unable to directly transfer your data to another administrator.
Right to object – you can object at any time to the processing of your personal data, including profiling and direct marketing.
Right to ask the Administrator of your personal data to notify the third parties to whom the Administrator has provided your data, regarding the correction, deletion or restriction of the processing of the personal data. In all cases where you exercise any of the above rights, we will notify these third parties of your request.

You have the right to file a complaint with the Commission for the Protection of Personal Data, which must be submitted in a form and with details in accordance with the law. 13. Accuracy of information

Aris Cargo Ltd. is not responsible for the accuracy of the data provided by you, does not carry out checks in this sense and does not guarantee the actual identity of the individuals who provided the data. In all cases of doubt on your part, of established fraud and/or abuse, please notify us immediately. You undertake, when providing any information on the Site, not to violate the rights of other persons in connection with the protection of their personal data or their other rights. To update your data, please use the approved form.

14. Right to confidentiality of personal data of children

Our services are limited to users who are 18 years of age or older. We do not allow users under the age of 18 on our platform and do not knowingly collect personal information from anyone under the age of 18. If you suspect that a user is under the age of 18, please use the reporting mechanism.

15. Changes to the Privacy Policy
